ProPlanning is a tool that helps a company use its human resources effectively to achieve optimal staffing according to job and activity needs.
Planning in ProPlanning occurs in 3 stages:
- Identification of tasks to be performed and when they are to be performed
- Allocation of resources to carry out the tasks
- Implementation of the plan and handling any deviations from it
ProPlanning takes employees’ qualifications and working hours into account, and ensures that legislation and collective agreements are complied with.
Tasks and the length of time that they are expected to take are often known in advance due to the use of ERP systems or because of fixed opening times and routines. Many tasks must be performed at a particular time in a particular place by a person with specific skills.
Regardless of whether tasks are determined by opening times or by an ERP system, rarely is the same system aware of an employee’s current working hours, scheduled meetings, qualifications etc.

Identification of tasks
In ProPlanning, a company can define its own job and activity profiles to incorporate into future staffing plans. Similarly, the company can define its own job and activity profiles based on employee competencies and use these as the basis of planning in the future.
With ProPlanning, existing attendance schedules are projected for a specific period together with any requirements as regards the employees’ qualifications for different shifts/meeting times. You can choose to change, add or delete elements in the plan on the basis of current circumstances - public holidays, holiday closing, seasonal fluctuations etc. - subsequently producing a needs plan that has to be staffed.
With regards to projections, you can include the ’normal’ staffing levels on the specific days and shifts so that the plan is essentially already in place. From here, account also needs to be taken of any personnel-related deviations, such as holidays, planned absence, courses etc.

Effective allocation of employees
ProPlanning matches the workforce to planned needs/tasks/shifts and presents the relevant employees with the right qualifications on-screen, taking into account any other required criteria (including employees from another department, if necessary).
