Gjensidige Forsikring

From manual administration to automatic notification!

Gjensidige in Denmark is a subsidiary of Gjensidige Forsikring ASA – Norway's largest insurance company and one of the four largest general insurance companies in Scandinavia with activities in Norway, Sweden, Denmark and the Baltic countries. In the Danish division of Gjensidige Forsikring there are approximately 500 committed employees.

Gjensidige Forsikring wished to avoid manual administrative procedures in order to save significant time and trouble. The management immediately recognized the power of ProNotify to contribute to achieving this goal due to the speedy and simple automatic notifications sent by the module.

Gjensidige's Managing Director and operational management team make all top-level/major decisions for the whole group of companies, but the company's organisation is deliberately constructed to have as flat a structure as possible.

Department Director of HR Nordic, Kenneth Ruby Jensen says: "We have outsourced our payroll  administration and wish to avoid manual procedures both within the administration department and for our employees. Part of the solution was to expand our present ProMark system to include the ProNotify module. This tool sends automatic reminders to the managers in case of missing approvals and the same for employees in case of missing registrations. As a result, payroll reporting is more  reliable and accurate.

It can be hard to keep track of various deadlines such as payroll processing, follow-up on absence and other events, which is why these reminders or notifications are so useful.  

ProNotify automatically sends out reminders to employees so that all the necessary information is collected.  The notifications, which are sent as e-mail or text messages, are initiated according to individual parameters covering the company's specific needs, and are based on irregularities or specific events registered in ProMark.

Examples of events could be:

  • Missing registrations from employees
  • Missing approvals from managers
  • Follow-up on illness (e.g. after 5 days of absence)
  • Reporting of mileage

All in all, this saves time and trouble for the payroll administration; it facilitates work routines and processes without manual intervention, leading to  higher efficiency and productivity. The recipients of the notifications may even get more time to solve the tasks as they are sent at a pre-set point in time and not at the last minute.
